Information we collect

Depending on how you interact with us, we may collect:

  • Contact details — your name, email address, phone number and postal address.
  • Student details — the student’s name, age or school year, school, subjects studied, exam boards and learning goals.
  • Learning support information — where relevant and provided by you, information about special educational needs, disabilities or health conditions, so that sessions can be adapted appropriately.
  • Booking and payment information — details of sessions booked and payment records. Card payments are processed by third-party providers; we do not store full card details.
  • Correspondence — emails, messages and notes of our communications.
  • Website data — information collected through cookies and similar technologies when you use our website, such as pages viewed and approximate location (see “Cookies and analytics” below).

How we use your information and our lawful basis

We use personal information for the following purposes and rely on the following lawful bases under UK GDPR:

  • To provide tutoring and workshops — to arrange, deliver and manage sessions. Lawful basis: performance of a contract.
  • To communicate with you — to respond to enquiries, confirm bookings and provide updates. Lawful basis: performance of a contract and/or legitimate interests.
  • Safeguarding and legal compliance — to meet our legal and regulatory obligations, including safeguarding and record-keeping. Lawful basis: legal obligation.
  • Adapting learning — to make reasonable adjustments where a student has additional needs. Where this involves health or special educational needs information (special category data), we rely on your explicit consent.
  • Marketing — to send you information about services you have asked about or that may interest you. Lawful basis: consent (which you can withdraw at any time) or legitimate interests for existing clients.
  • Website analytics — to understand how the website is used and to improve it. Lawful basis: consent.

Children’s information

Most of our students are children. We ask that a parent or guardian provides information about a child and consents to tutoring on their behalf. We only collect information about a child that is necessary to deliver and support their learning, and we handle it with additional care.

Who we share information with

We do not sell your personal information. We may share it with trusted third parties who help us run our services, including:

  • Email, booking, form and scheduling providers (for example, Google Forms/Workspace and our website host).
  • Payment processors and banks.
  • Analytics and advertising providers (for example, Google Analytics and Meta) where you have consented to cookies.
  • Professional advisers, exam boards or tutors where necessary to deliver services.
  • Police, local authorities or other bodies where we are required or permitted to do so by law, including for safeguarding.

Where information is transferred outside the UK, we take steps to ensure it is protected by appropriate safeguards, such as the UK International Data Transfer Addendum or equivalent measures.

Cookies and analytics

Our website uses cookies and similar technologies. Some are necessary for the site to work; others help us understand how the site is used.

  • Google Analytics — collects information about how visitors use the site so that it can be improved.
  • Meta Pixel — helps measure the effectiveness of our advertising and understand visits from social media.

You can control or delete cookies through your browser settings. Blocking some cookies may affect how the website works. Where required, we ask for your consent before setting non-essential cookies.

How long we keep information

We keep personal information only for as long as necessary for the purposes set out above, including to meet legal, accounting and safeguarding requirements. In general:

  • Enquiries that do not lead to tutoring are kept for up to 12 months.
  • Records relating to students are kept for the duration of tutoring and for a reasonable period afterwards (for example, up to 6 years for financial records).
  • Safeguarding records may be kept for longer where the law or good practice requires.

When information is no longer needed, we securely delete or anonymise it.
